1. Introduction

MeetGrade ("we", "our", or "us") operates the quality assurance platform accessible at app.meetgrade.com (the "Service"). This Privacy Policy explains how we collect, use, and disclose information about you when you use our Service.

The Service is operated by ФОП Дудченко Олексій Васильович (Oleksii Dudchenko, sole proprietor). MeetGrade analyzes the quality of sales calls and provides coaching feedback to sales teams.

2. Information We Collect

When you register or sign in, we collect:

When you connect your Zoom account, or add a Google Meet meeting, with your explicit consent our recording bot ("MeetGrade Recorder") joins the meeting and captures:

The bot is visible in the participant list and posts a chat message disclosing that recording is in progress. We do not access meetings you do not host or invite it to.

If you use MeetGrade to analyze job interviews, that analysis is decision-support only: it scores answers against role competencies from the transcript and never produces an automated hiring verdict, lie detection, personality profile, or emotion inference from faces. A human always makes the hiring decision.

Recording is performed by our own self-hosted Meeting SDK bot (hosted on Hetzner, EU region), which acts as a transient processing node — recordings are uploaded to object storage and are not retained on the recorder. Transcripts and quality scores are stored on our servers (hosted on Railway, EU region).

2.5 Google Calendar (Optional Auto-Join)

If you connect Google Calendar and enable auto-join, with your explicit consent we request read-only access to your calendar events (Google OAuth scope calendar.events.readonly). We use this access solely to read the start time and the video-meeting link of your upcoming events, so that our recording bot can automatically join your scheduled meetings at the right time. We do not read event descriptions, attachments, or attendee details beyond what is needed to join; we do not create or modify any calendar events; and we store only the minimal event metadata (event id, start time, meeting link) required to dispatch the bot — deleted once the event has passed. You can disconnect Google Calendar at any time in Settings.

Google API Services — Limited Use. MeetGrade's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not allow humans to read it except (a) as necessary to provide or secure the auto-join feature, (b) with your explicit consent, or (c) as required by law. Google user data is never used to train AI/ML models.

7. Disconnecting the Zoom App

You can disconnect at any time using either method:

Method A — From MeetGrade

  1. Sign in to app.meetgrade.com
  2. Open My Profile → 🔗 My Zoom
  3. Click 🔌 Disconnect Zoom

This immediately revokes your OAuth tokens via Zoom's /oauth/revoke endpoint and clears them from our database.

Method B — From Zoom Marketplace

  1. Sign in at marketplace.zoom.us
  2. Navigate to Manage → Added Apps
  3. Find "MeetGrade" and click Remove

Zoom sends us an app_deauthorized webhook; we automatically delete all OAuth tokens, mark your Zoom integration as disconnected, and confirm to Zoom's Data Compliance API (with retry queue for reliability).

7a. Deleting All Your Data (GDPR Right to Erasure)

To permanently delete all your data from our system (account record, sessions, analyzed calls, transcripts, notifications, achievements, rule acknowledgements, and any pending analysis tasks):

  1. Sign in to app.meetgrade.com
  2. Open My Profile → 🔗 My Zoom → "🗑 Delete my data"
  3. Confirm by typing your email address

This action is irreversible. You will be automatically logged out after deletion. Bot user records and other managers' calls are not affected. If you prefer to request deletion by email, contact hello@meetgrade.com and we will complete the request within 30 days.

Our Service is not intended for children under 16. We do not knowingly collect data from children.

10. International Data Transfers

Our application servers and recording bot are located in the European Union (Railway and Hetzner EU regions). Meeting recordings are stored in Cloudflare R2 with EU jurisdiction (data kept in the EU), encrypted at rest. Some data may be processed in the US by our providers — Anthropic (analysis), Deepgram and Groq (transcription), and Cloudflare (storage operator; recording objects remain in the EU) — under appropriate data transfer mechanisms (EU Standard Contractual Clauses).

We may update this Privacy Policy periodically. We will notify users of material changes via email or in-app notifications.

1. Загальні положення

MeetGrade ("ми", "наш", "нас") оперує платформою контролю якості, доступною за адресою app.meetgrade.com ("Сервіс"). Ця Політика конфіденційності пояснює, як ми збираємо, використовуємо та розкриваємо інформацію про вас під час використання нашого Сервісу.

Оператором Сервісу є ФОП Дудченко Олексій Васильович (Oleksii Dudchenko, sole proprietor). MeetGrade аналізує якість дзвінків продажів і надає коучинг-рекомендації командам продажів.

2. Які дані ми збираємо

2.2 Дані зустрічей (Zoom і Google Meet)

При підключенні вашого Zoom-акаунту або додаванні Google Meet-зустрічі, з вашої явної згоди, наш бот-рекордер ("MeetGrade Recorder") заходить у зустріч і записує:

Бот видно у списку учасників, і він публікує в чат повідомлення про те, що йде запис. Ми не отримуємо доступ до зустрічей, які ви не організовуєте або куди його не запросили.

Якщо ви використовуєте MeetGrade для аналізу співбесід, цей аналіз — лише підтримка рішення: він оцінює відповіді за компетенціями ролі з транскрипту й ніколи не виносить автоматичний вердикт про найм, не визначає брехню, не будує профіль особистості й не зчитує емоції з обличчя. Рішення про найм завжди ухвалює людина.

Запис виконує наш власний self-hosted Meeting SDK бот (хостинг Hetzner, EU) — він є транзитним вузлом обробки: записи завантажуються у сховище й не зберігаються на рекордері. Транскрипти та оцінки якості зберігаються на наших серверах (Railway, EU).

2.5 Google Calendar (опційне авто-приєднання)

Якщо ви підключаєте Google Calendar і вмикаєте авто-приєднання, з вашої явної згоди ми запитуємо read-only доступ до подій календаря (Google OAuth-скоуп calendar.events.readonly). Ми використовуємо його виключно щоб читати час початку та посилання на відео-зустріч ваших майбутніх подій — щоб бот-рекордер міг автоматично приєднатися до ваших запланованих зустрічей вчасно. Ми не читаємо описи подій, вкладення чи дані учасників понад потрібне для входу; не створюємо й не змінюємо події; і зберігаємо лише мінімальні метадані події (id, час початку, посилання), потрібні для запуску бота — вони видаляються щойно подія минула. Відключити Google Calendar можна будь-коли в Налаштуваннях.

Google API Services — Limited Use. Використання та передача MeetGrade будь-якому іншому застосунку інформації, отриманої через Google API, відповідає Google API Services User Data Policy, включно з вимогами Limited Use. Ми не використовуємо Google-дані для реклами, не продаємо їх і не дозволяємо людям читати їх, окрім (а) як необхідно для надання чи захисту функції авто-приєднання, (б) з вашої явної згоди, або (в) як вимагає закон. Google-дані ніколи не використовуються для навчання AI/ML-моделей.

7. Як відключити інтеграцію Zoom

Можна двома способами:

Спосіб А — у MeetGrade

  1. Зайдіть на app.meetgrade.com
  2. Відкрийте Мій профіль → 🔗 Мій Zoom
  3. Натисніть 🔌 Відключити Zoom

Це одразу відкликає ваші OAuth-токени через Zoom /oauth/revoke і чистить їх з нашої БД.

Спосіб Б — у Zoom Marketplace

  1. Увійдіть у marketplace.zoom.us
  2. Перейдіть у Manage → Added Apps
  3. Знайдіть "MeetGrade" та натисніть Remove

Zoom надішле нам app_deauthorized webhook; ми автоматично видалимо OAuth-токени і підтвердимо це Zoom Data Compliance API (з retry-чергою для надійності).

7a. Як видалити ВСІ свої дані (GDPR Right to Erasure)

Щоб назавжди видалити всі ваші дані з системи (обліковий запис, сесії, проаналізовані дзвінки, транскрипти, нотифікації, ачівки, прийняття правил, задачі в черзі):

  1. Зайдіть на app.meetgrade.com
  2. Відкрийте Мій профіль → 🔗 Мій Zoom → "🗑 Видалити мої дані"
  3. Підтвердіть, ввівши свою email-адресу

Дія НЕОБОРОТНА. Після видалення вас автоматично розлогінить. Бот-записи і дзвінки інших менеджерів не чіпаються. Якщо хочете запит на видалення поштою — пишіть на hello@meetgrade.com, виконаємо протягом 30 днів.

9. Конфіденційність дітей

Сервіс не призначений для дітей до 16 років. Ми свідомо не збираємо дані дітей.

10. Міжнародна передача даних

Сервери застосунку та бот для запису розташовані в Європейському Союзі (регіони Railway та Hetzner EU). Записи зустрічей зберігаються у Cloudflare R2 з EU-юрисдикцією (дані лишаються в ЄС), зашифровані at rest. Частина даних може оброблятися у США нашими провайдерами — Anthropic (аналіз), Deepgram і Groq (транскрипція) та Cloudflare (оператор сховища; обʼєкти записів лишаються в ЄС) — із застосуванням належних механізмів передачі (Стандартні договірні положення ЄС, SCC).

11. Зміни до цієї Політики

Ми можемо періодично оновлювати цю Політику конфіденційності. Про суттєві зміни повідомимо користувачів електронною поштою або сповіщеннями в застосунку.
